Many of you get to know Chris Knight, Tamica Price, and Darrell Wilson through the everyday interactions over the phone, but you will now be able to meet them face-to-face. Each week we will be sending a WAM Representative to visit our clients as our drivers deliver orders. We want to make sure our customer needs are fulfilled, and our clients are receiving excellent customer service. Our focus is ensuring WAM clients are confident in the service provided, and satisfied with how their account is being handled. 			<content:encoded><![CDATA[<p>File protection and safe record keeping is guaranteed with Washington Archives Management. So when preparing to send records off-site there are a few tips to consider. Make sure the provider you choose provides safe, secure and economical storage for your business records and customer data. Your provider should be in compliance with all rules and regulations that apply to your industry. These tips will help for a smooth document transfer, thus keeping the process simple, and allowing for easy retrievals when the documents are requested.</p>
<p>1. Know what is in each box you’re sending off-site. Some boxes may have reached their retention period and can be securely destroyed.<br />
2. Make sure to choose the correct box size and try not to over pack the boxes.<br />
3. Do not pack hanging files/folders (Pendaflex) in a box to be stored off-site. Storing Pendaflex hanging folders will destroy the box.<br />
4. Make sure retention periods are noted, try storing documents with the same retention period in the same box. This makes it easy for destruction when the box does hit retention.<br />
5. Correctly labeling boxes will help identify the item you are looking to retrieve. Do not write information on the box lid or on the sides of boxes.<br />
6. Records should be in an organized format:</p>

•Date Ranges<br />
•File Index<br />
•Destruction Date<br />
•Summary of Contents</ul>
<p>Moving sensitive information off-site can be stressful, but hopefully these helpful tips will take the stress out of your move. 			<content:encoded><![CDATA[<p>Washington Archives Management provides our clients with two different types of accounts, “file level” and “box level.” A file level account is when your files are barcoded and individually listed (called file indexing) in the database for quick and easy access. A box level account does not barcode and individually list files in the database, your box is labeled with a general description of the contents of the box.</p>
<p>The majority of WAM clients are “box level” clients. They order strictly by the box and can access items on our web ordering system by using a category code, date range, sequence range, general description, alternate code, etc. Our “file level” clients can access items on our web ordering system as well by simply listing the file name desired. Our online system does allow “box level” accounts to order files as well, but there are a few steps that need to occur before that can happen. The first step is to know the name of the file you are searching for (this must be the complete file name). The second step is to know the WAM box barcode number of the box the file is stored in. Once you have this information you will then fill out a form on the web ordering system that allows the system to recognize that you want to order a single file even though your account is setup to order boxes. Ordering a file from an un-indexed box will add roughly 3-5 minutes to your order time.</p>
<p>WAM encourages all clients that want to order by the file instead of by box to consider indexing. There are benefits to file indexing which are:</p>
<p>•Indexing provides you with a complete and accurate list of all files that are stored at WAM.<br />
•Better security for your items by tracking the barcode on each file.<br />
•Provides a standard structure for your database to easily identify what you are looking for.<br />
•The ability to easily and quickly order items on the web ordering system.<br />
•File purges become easier because you are able to see the individual file name and information of each box.<br />
•The cost of indexing is relatively low compared to the cost of not being able to locate items that you are in need of.</p>

			<content:encoded><![CDATA[<p>We have attempted to provide our clients with complete answers to the questions we get most often. WAM uses RSWeb.net, which is a real-time interface that gives clients direct access to their records inventory. With this ordering system, our clients have the ability to search for records, modify indexed data, and place orders if authorized to do so. This frequently asked question sheet should help walk you through the steps, helping to resolve issues you may have experienced while using our ordering system.</p>
<p><strong>What web browser should I be using? </strong><br />
Internet Explorer 7 or 8 is the browser that works best. Anything newer than Internet Explorer 8 will not work with the ordering system. *Please note: Internet Explorer is the only web browser that will work with the web ordering system.</p>
<p><strong>Why isn’t my order complete when I put the item in the cart?</strong><br />
Once the order is in the cart, it is automatically saved but not submitted. You must then click checkout for the order to be processed.</p>
<p><strong>Why is there a required date/time field?</strong><br />
The date/time field is used for letting us know when your rush service will be completed by. <em><strong>*Please do not fill out the required date/time field on the order submit screen; this section is only for Rush Orders.</strong></em></p>
<p><strong>How do I transfer the information about my boxes into the database?</strong><br />
WAM has our clients use an import template to list all box information that should be uploaded into the database. If you have questions about the import template, contact your WAM Service Coordinator and they will be able to help.</p>
<p><strong>How do I edit my inventory?</strong><br />
To edit your inventory you will need to determine the item that you wish to edit. Then double click the line item and it will bring you to the inventory edit screen. From there you are able to make any changes needed. Then select “submit” and the changes will take effect immediately.</p>
<p><strong>How do I locate a box by its description?</strong><br />
There are two different ways to search your inventory. There is a Quick Search that allows you to enter a single piece of information (barcode, alternative code, ect). Or there is an Advanced Search, which is a more in-depth search, with many value options (descriptions, destroy dates, etc). So first you will need to select the method of search:</p>
<p>•Quick Search: From the “Inventory” tab click on “Getting Started,” then choose from the “Container” or “Filefolder” searches. Select the query you wish to use as your search tool by using the drop down box. Enter your information and click “Search.” Your search results will be displayed but you may need to sort through the results to determine the items needed. The more specific your search criteria, the more accurate results.</p>
<p>•Advanced Search: Select desired method of searching from the drop down menu. Make sure that the comparison is correct for your search. All contents and descriptions should use the comparison “contains” only. Enter in the appropriate search criteria, select the add button and click query.</p>
<p><strong>*Once complete with the searching options, see “To Complete your order” section below.</strong></p>
<p><strong>How do I order a report online?</strong><br />
•Once logged in, go to “Cart” which is under the “Order” sections on the left hand side of the page.<br />
•You should then be on the “Cart” screen, select “Add to Cart” which is a heading across the top of the page, and then select “Reports.”<br />
•In the “Reporting Services” screen, select the report type you wish to order. You will then click “next,” which is under the drop down box.<br />
•Continue to click “next”, until you get to the “Add to Cart” button.<br />
•The report will be listed in the “Cart” grid.</p>
<p><strong>*Please note: Everything is already setup for you, if you change any of the selections, the report will not be downloaded. Be sure to notify your Client Service Coordinator if you do not have the reports option set up already.</strong></p>
<p><strong>How do I check the status of my order?</strong><br />
The RSWeb.net allows our clients to check the status of the order. To do so you will need to:<br />
•Go to “Order Status” on the left hand side of the page under the “Order” section.<br />
•You will then need to enter in the desired search method. If you use the begin/end date option, be sure to check the boxes next to each.<br />
•Select “Search”<br />
•Item status will then be listed in the grid.<br />
•To view order detail, double click on the line of the item you wish to view.</p>
<p><strong>I ordered 25 boxes by the cutoff time, why didn’t my boxes get delivered as scheduled?</strong><br />
For orders 25 boxes or more, the delivery will be made next day due to the volume needing to be transported.</p>
<p><strong>I requested a pickup of 25 boxes, why weren’t my boxes picked up as scheduled?</strong><br />
A pick-up for 20 or more boxes are scheduled 2-days in advance on a first come first serve basis.</p>
<p><em><strong>One last note:<br />
*Make sure that all of the information is filled in correctly. The work order account is your company’s account number. Be sure that the contact person and address is correct as well. </strong></em></p>

			<content:encoded><![CDATA[<p><strong>Miriam Johnston</strong> is on of our <strong>Customer Service Representatives</strong> and has been with Washington Archives Management for 5 ½ years. Miriam started with data entry and customer service in Lacey, and then moved to our Fife location to assist with client relations. Miriam helps clients with imports, web training, and database questions and answers. Miriam is looking forward to expanding her knowledge on customer service because she loves the people she works with and interacting with WAM clients on a daily basis.</p>
<p><strong>Chris Knight</strong> is also one of our <strong>Customer Service Representatives </strong>and has been with the company for three years. Chris started working for WAM as a temp in our Lacey location before we realized what an asset he would be. Chris works with clients on a daily basis, taking work orders, assigning pulls, and interacting with clients to ensure their orders are fulfilled. Chris enjoys the new change because it shows he is moving within the company and this change gives him to opportunity to continue to learn new thing. Chris says he is “happy to be with a company like WAM, where the owners know my name and make an effort to get to know me.”</p>
<p><strong>Jared Padruchny</strong> just started at WAM as a <strong>Delivery Driver </strong>and has been here for a month. Jared is still learning the daily tasks but enjoys working here because he is learning new things and it is a great learning experience. Jared pulls documents and delivers them to our clients on a daily basis, as well as helps out in the warehouse fulfilling daily responsibilities. When he’s not working here at WAM, Jared likes to read books on history, current events, and play baseball. Jared has shown that he is a hard worker and he always makes sure he is doing the right thing.</p>
<p><strong>Maricel Kambhiranond</strong> is our <strong>Data Entry Specialist</strong> here at WAM. Maricel started as a temp in 2009 and worked on and off throughout the years until April 2011 when she became full-time. Maricel daily tasks include digital imaging, data entry, indexing, assisting others within the company and miscellaneous jobs. Maricel enjoys working here and says, “I have learned a lot with communication here and hope to grow within my job.”</p>

			<content:encoded><![CDATA[<p>Clay Gurnoe came to work for what was then Merchant Moving and Storage in April of 1968. Working for a small Moving and Storage company in Tumwater, Clay was always the number one man. Clay first started working for Gene Parson’s, the Manager for our Dad; Bill Naubert.</p>
<p>For a small business Clay was perfect, loyal, honest, and hard working, “he would truly give it his all”. Clay was not just dependable, he was there every morning with the coffee made and would be there till all the jobs were done and done right. Clay had his opinions and we all lived with them. Clay was stubborn; it was the Clay way or the highway. Clay was also the one that always knew how to make things work; he knew how to make that forklift work when no one else could. We all thought he could make some things work just by intimidation. Clay had a special talent for “rigging”; whether it was moving a 20-foot conference table by crane through a plate glass window 14 floors up or a Beluga whale to the Shed aquarium in Chicago. Clay figured it out and successfully got it done. Clay helped relocate Beluga’s through an exchange program that Point Defiance participated in, he also went to Calgary, Canada to pick up two orphaned Polar Bears and to Portland, Oregon for a couple of Snow Leopards’ all without incident.</p>
<p>It’s not really hard to describe what Clay Gurnoe meant to our Company, he was very much part of our foundation. Without people like Clay there would have been no Merchants Moving, then Allwest Transportation and now Washington Archives Management. He was part of the fabric and the culture that creates a family that makes up a small business. This is what sustains through the highs time and the many low times that a small business must endure to succeed. It’s people like Clay that are the difference between success and failure.</p>
<p>To me personally Clay was a mentor; he was always ethical and honest. He taught me the business from the back end of the truck. He showed me by example to respect people and their things no matter who they are and whatever their situation. Thank you Clay we have always respected you and loved you. We will miss you and always carry you with us.</p>
